DESCRIPTION
Clear Space Theatre seeks a Company Manager to oversee and support members of the Clear Space Theatre Company artistic teams including actors, directors, designers, and production staff for all events and performances. The Company Manager oversees the logistical needs of all productions and artists; such as managing documents, payroll requirements, and contracts for the cast and crew, enforcing policy, and serving as the primary point of contact between the artists (which includes the cast, creative, and administrative teams) and the Artistic Director. The Company Manager also serves the function of housing and travel coordinator. Additionally, the Company Manager interacts with each of the company members on a daily basis to ensure any day to day needs are being addressed.
The Company Manager supports the Box Office staff with supplementary needs, such as answering phones, selling tickets, and communicating with patrons as needed.
The Company Manager is the coordinator for all Arts Institute communications and program setup for each semester of classes and camps.
Key responsibilities include:
Administrative and General Business Responsibilities
- Represent Clear Space Theatre in a professional manner to company members, employees, and partner organizations.
- Work effectively with supervisors, other staff members, guests, vendors, and sponsoring partners.
- Complete contract and other hiring documents for new hires and submit them in a timely and accurate fashion.
- Efficiently archive contracts and other show documents.
- Maintain accurate employee records.
- Provide support and hospitality services to staff and artists during rehearsal and tech processes in coordination with the Stage Manager and Artistic Director.
- Oversee new hire orientations and onboarding as needed; Assist in implementing Clear Space Theatre’s Diversity, Equity, and Inclusion (DEI) Policies and Workplace Safety Policies ensuring completion of all required trainings and videos.
- Work with the Box Office Manager to coordinate activities and company meals for artists.
- Supervise any interns or Rebecca Luker Theatrical Partners along with Artistic Director.
- Attend meetings as needed or required (staff meetings, production meetings, annual meeting, etc.)
- Complete all other functions and assignments as assigned by the Artistic Director
Artists and Creative Team Relations
- Create and distribute all contracts through DocuSign and ensure that ALL contracts are properly dispersed, signed, and collected
- Create, collect, and distribute all supplementary documents, including contact sheet, preliminary rehearsal schedule, artist look page, questionnaires, costume form, photo release form, show calendars, housing agreement, DEI and Workplace Safety Policy and Procedures, and other documents as assigned
- Create and distribute actor agreements for all student actors and ensure collection
- Ensure materials are catalogued, received, and mailed to all artists (actors, designers, crew, musicians, etc.):
- Catalogue received materials from licensing companies
- Maintain sign-out sheet for all materials
- Return materials to licensing companies
- Collect headshots and biography paragraphs from all artists (print physical copies as needed)
- Oversee, arrange and prepare company housing and transportation for all artists for all productions and special events
- Curate, manage & maintain relationships with local housing & travel arrangements
- Coordinate special events for artists such as opening/closing night parties, as needed.
- Coordinate, schedule, and take minutes at all production meetings
- Coordinate a schedule of production deadlines and ensure these deadlines are met by creative team
- Support and supervise the actor deputy system
- Coordinate initial meeting and election, with Artistic Director and Stage Manager
- Meet with each deputy at least once a week to field questions and concerns
- Act as a liaison between each show deputy and the company, reporting incidents or concerns immediately to the Artistic Director
- Assist as needed with agents, artists, and applicable unions, including the Actors Equity Association; with approval of Artistic Director
- Assist as needed with company member human resources-related concerns, and have familiarity with Clear Space Theatre’s code of conduct, including company policies on sexual harassment and anti-racism, and the company’s concern resolution process.
- Perform rehearsal, opening night, and load-out operational and administrative duties.
- Be a visible resource at rehearsals at least once a week (in summer, twice a week; each show)
- Provide on-site day of show artist services support; be available during performances
- Coordinate and attend load-out of each show (with director, designers, stage manager, etc)
- Report any necessary findings to the Artistic Director (observations, incidents, etc.)
Arts Institute Coordinator Responsibilities
- Proficiency in using Activ Network.
- Create and distribute all contracts through DocuSign
- Ensure that ALL contracts are properly dispersed, signed, and collected within 72-hours
- Ensure all documents are collected and dispersed to the proper position (i.e. W4/W9 forms and direct deposit forms to payroll, costume forms to costume designers, etc.)
- Send all updates on classes, cancellations, etc. in a timely manner.
- Field on-site, phone, and event inquiries regarding the Arts Institute.
- Coordinate all registration materials and parent communication, including scholarships, in conjunction with the Artistic Director
- Maintain a scholarship database and create a report with final numbers upon completion of all classes each semester
- Develop and update class rosters immediately following each classes, reporting on special needs, allergies, behavioral disorders, etc. for any student to Instructors
- On-site liaison with parents.
- Attend the entire first day of instruction for each class
- Attend final day of instruction for each class (performance attendance required)
- Coordinate needs of all Arts Institute instructors, including information to be sent to parents
- Keep accurate records and update student retention documents
Box Office Support Responsibilities
- The Company Manager assists in handling weekday sales for Clear Space Theatre Company’s Theatre Season, including pre-show sales and on-site at the door sales during business hours for all performances.
- Full understanding and ability to use Patron Manager (ticketing system)
- Trained in ticketing system;
- Assists Box Office Manager with season subscriptions
- Listen, communicate, and work effectively with guests in high-volume setting.
Show Programs
- Create all show programs, coordinating with the Director of Development for all advertisements
- Identify all dates for completion/deadlines
- Pass on to Artistic Director for final approval one week prior to deadline
- Send final drafts of each program to printing company, ensuring this company has all materials needed, and information regarding number of programs needed by certain dates and ensure delivery of programs by the stated deadline. Coordinate all edits provided by other staff.
Reporting: The Company Manger reports to the Artistic Director. The Artistic Director provides regular oversight of the Company Manager, including setting of annual goals and conducting the Company Manager’s annual performance evaluation.
Compensation & Benefits: This is a full-time position with an annual salary of $40,000. This position is eligible to participate in Clear Space’s QSEHSA health insurance program and its SIMPLE IRA retirement program.

- Detail Oriented, well organized, and able to remain calm and clear-headed at all times
- Demonstrated ability to work closely with and support artists at all stages of their careers
Qualification Requirements: A bachelor degree in theatre, administration, business or related field OR 3+ years practical work experience in the management/theatre production industry
