DESCRIPTION

321 Theatrical Management, a commercial Broadway and Touring General Management company located in NYC, is seeking an entry-level candidate for the position of Receptionist. Candidates should have excellent organizational and interpersonal skills, and an interest in commercial theater.

The Receptionist will manage the front office of a busy theatrical general management office, with tasks including greeting guests, managing conference room calendars, assisting office tenants with their needs, and consistently monitoring the main office phone lines. The Receptionist must be a true people person, with first-rate communication skills and the ability to remain comfortable and level-headed while communicating with high-level theatrical professionals and VIPs.

Daily tasks of this position consist of:

· Receiving and screening all incoming phone calls & connecting them to the appropriate people

· Scheduling of conference room calendars and Zoom meeting scheduling for office

· Maintaining the conference rooms for meetings (including cleaning, setting up meetings, and making sure guests are comfortable)

· Managing the conference room technical equipment

· Signing for and distributing all incoming packages

· Assisting all office tenants with daily needs

· Maintaining office contact sheets

· Ordering office supplies

· Assisting with 321 events, parties and opening night preparations and activities

Additional tasks and responsibilities will be assigned as needed, but may include booking travel and making itineraries, scheduling General Managers’ calendars, troubleshooting phone and internet service, and creating billing back-up charts for office expenses.

Required Skills/Knowledge:

· Detail-oriented & professional with strong oral, organizational, and interpersonal skills

· Ability to work in a fast-paced environment, both independently and as part of a team

· Professional demeanor and image

· Knowledge of Microsoft Office programs, particularly Excel, Word and Outlook

This is an in-office position, and we are currently considering candidates with full-time or part-time availability. This is an hourly paid position starting at NYC minimum wage (currently $15 per hour) with the possibility for salary increase based on experience and performance.
