POSITION TITLE:  

Facilities Services & Site Safety Coordinator, 

(Full-time, non-exempt)

SALARY: $40,000+ Benefits


POSITION SUMMARY: 

New York Live Arts seeks a Facilities Services & Site Safety Coordinator to report to the Operations Manager.  


We are looking for a proactive and productive person to maintain continuous building-wide safety and compliance standards.  Reporting to the Operations Manager, this position provides support to the general staff and administrative support to the Operations Department.  


The Facilities Services & Site Safety Coordinator will be the onsite monitor for building. The person in this role will ensure Covid-19 health protocols are adhered to in collaboration with the  New York Live Arts Covid-19 Task Force. They will also be responsible for equipment and IT issues, troubleshooting and coordinating repairs as needed. This person will set-up workstations for staff, manage building access, coordinate with Fire Safety, IT Security, and other vendors. 

 

SCOPE AND RESPONSIBILITIES: 

The Facilities Services & Site Safety Coordinator will be available to the general staff for daily assistance, often coordinates with the Director of Production and assists the Operations Manager with various administrative and maintenance tasks as needed including but not limited to: 


  • Site Safety Duties

  • Checking in all staff/patrons upon arrival (health survey and temperature scan)

  • Collection and monitoring of proof of vaccination and negative Covid-19 test results in collaboration with various departments

  • Maintain daily cleaning log and disinfectant cleaning supplies

  • Attend weekly Covid-19 Task Force meetings

  • Ensure hand sanitizing and disinfecting stations are maintained

  • Disinfect high traffic areas when needed

  • Order Personal Protective Equipment (PPE)

  • Maintain Lobby Temperature Scanner/s




  • Onsite Building Monitor & Administrative Duties:

  • Open the building on a daily basis as scheduled by the Operations Manager and maintain presence in lobby FOH daily

  • Front desk duties such as answering phones, checking in rental clients as needed

  • Assist Live Arts departments with various projects as needed

  • Manage keycard access and tracking document

  • Place online job postings for Live Arts job vacancies for various departments as needed




  • General Equipment Maintenance:

  • Elevator – maintain the elevator inspection schedule, log book and coordinate elevator repairs as needs

  • Fire Extinguishers – schedule fire extinguishers recharging and tag renewal every 3-6 months 

  • Water Tower/HVAC Maintenance – work with condominium personnel to coordinate all water tower and HVAC inspections, maintenance and record-keeping

  • Fire Alarms/Sprinkler Inspection – to ensure FDNY fire systems compliance, schedule inspections and repairs with fire maintenance vendor as needed




  • IT Responsibilities:

  • Communicate with IT contractor and internet service provider to troubleshoot any service disruptions and routinely check IT equipment for efficiency, upgrades

  • Set up workstations for staff and resolve any internet, phone and printing services issues

  • Maintain phone service for staff and resolve any phone-related issues

  • Investigate new vendor services for phone, internet, or any other IT systems as needed




  • General building maintenance:

  • Weekly building-wide survey to catalogue any maintenance issues, schedule repairs, and update maintenance log.  Under the supervision of the Operations Manager, assign janitorial tasks including but not limited to the following: window cleaning, studio and theatre disinfecting, mopping, scheduling exterminator, re-stocking of cleaning supplies

  • Coordinate and perform building maintenance projects when needed such as painting & wall repairs, lightbulb replacing & ordering, maintain inventory of paint & repair supplies

  • Provide departmental assistance with deliveries of packages, sets, props, and other production-related needs as directed by the Operations Manager

  • Order office & copy machines supplies, maintain and organize copier room 

  • General kitchen maintenance when necessary




  • Studio:

  • Troubleshoot audio equipment issues when notified, reach out to Production Department for assistance when necessary

  • Schedule vendor for soft goods flame resistant treatment and update certificates

  • Open, close wall partition for residency artists, programming events and renters when needed

  • Schedule bi-annual piano tuning for White studio piano

  • Adjust thermostat in both studios for temperature control as needed




  • Lobby/Art Installations: 

  • Assist Programming, Production and the Creative Director to coordinate the removal and installation of vinyl and other art installations on the Ford Foundation Gallery wall and any other art installations in the lobby or other areas of the building




  • City inspections:

  • City inspections are conducted in a spot-check manner and unscheduled.  This position requires all FDNY, DOB and related building logs to be up-to-date and maintained in addition to providing building-wide access for inspections.




  • REQUIREMENTS:

  • Enthusiastic, positive demeanor and impeccable people skills 

  • Must be a self-starter, take initiative, and be assertive in anticipating the needs of the staff an Executive Director

  • B.A. and 1-2 years of administrative experience

  • Strong verbal and written communications skills 

  • Strong computer and information technology (IT) skills 

  • Professional phone manner with impeccable interpersonal skills

  • Excellent organizational capabilities

  • Ability to work collaboratively with staff

  • Ability to maintain confidentiality about the institution, its donors and its staff

  • Willingness to work occasional nights and weekends

  • Carpentry & painting skills a plus

  • Heavy lifting may be required

  • Knowledge of dance and the related arts a plus

  • Bi-lingual speaker a plus
