Position Title: Box Office Manager

Compensation: $22-26 per hour; or $48,000 to $52,000 annually; non-exempt

Benefit Package: Health insurance, paid personal/sick/vacation days and holidays, parking permit, and complimentary tickets to all CRT productions.

Cortland Repertory Theatre in Cortland, New York, is seeking to hire a Box Office Manager (“BOM”) to join our Administrative Team. The BOM is a direct report to our Producing Artistic Director and will work closely with our Business Manager and Production/Facilities Manager on all matters. The BOM will oversee daily operations and activities of the CRT Box Office to optimize ticket sales for performances and events while delivering a customer service experience focused on kindness and accessibility for all. The BOM will execute various administrative duties related to ticket sales and fulfillment, facilities rental, sponsor and playbill advertisement acquisition and renewal, amongst other duties.

Cortland Repertory Theatre (CRT) is a nonprofit year-round operation with two venues. In the summer, we produce 5-6 productions at the Little York Pavilion in Preble; during the fall/winter/spring, we produce and present a wide variety of events at “CRT Downtown” in the city of Cortland. These events may include plays, musicals, concerts, special events, and bookings by outside entertainment entities. Both venues have facility rental opportunities which will also be marketed, contracted and coordinated by the BOM.

The Box Office Manager is responsible for:

· Serving as the main point of contact and lead sales representative for CRT’s customers, including individual ticket buyers, subscribers and groups. This includes selling tickets, creating and executing group contracts, greeting customers and groups, and the organization and distribution of subscriber tickets and flex-passes.

· Learning/maintaining excellent knowledge of the ETix ticketing system.

· Leading in the hiring, supervision, training and scheduling of House Managers, additional summer Box Office staff, and scheduling summer volunteer ushers while fostering a positive and productive work environment.

· Ensures Box Office staff is knowledgeable about CRT events, skilled in selling tickets, processing orders and providing superior customer service via phone and in person.

· Provide daily financial settlement and accountability of all ticket sales revenue.

· Maintaining and updating all seating charts, including summer subscriptions.

· Coordinating 2-3 bulk mailings a year, with document mail merge, and distribution of donor recognition letters.

· Maintaining and updating CRT’s donor database and US mail / email contact lists.

· Serving as Rental Manager for the CRT Downtown Grand Hall and the Little York Pavilion Reception Hall, scheduling all events in and around the yearly calendar of productions and events. This entails the creation and distribution of rental contracts, updating the Rentals Calendar, hiring hall managers and cleaning companies, ordering of CRT’s beer, wine and cider inventory and the scheduling of bartenders and staff as necessary for any rental events.

· Identify, create and maintain new and vibrant ways to engage, promote, market and increase CRT’s revenue in tickets, rentals and promotion.

· Update CRT website within one’s capabilities and serve as main contact with CRT’s website designer.

· Day-to-day reception and general office work as assigned.

· Staying up to date with current industry standards and technologies.

Preferred Qualifications

· Bachelor’s degree in Theatre Management or similar.

· 3 to 5 years management experience including scheduling, hiring and managing staff, preferably in the arts, culture or hospitality sector.

· Proven record of providing superior customer service with excellent interpersonal communication.

· Ability to proactively, politely interact with a variety of personalities in a fast-paced environment.

· Confident and assured in public interactions with superior conflict resolution skills.

· Accommodate a flexible schedule including weekends, evenings and some holidays.

· Solid working knowledge of all aspects of Microsoft Office Suite programs including Access, as well as QuickBooks and the ETix ticketing system.

· Competent familiarity of New York State ADA compliance.

· Functional understanding of social media (Facebook, Instagram) marketing tools and styles.

· Excellent written and verbal communication skills.

·Possess the qualities of commitment, adaptability and flexibility.

The Box Office Manager shall also:

· Demonstrate a collaborative approach with other CRT employees and volunteers by operating in a respectful, enthusiastic and friendly manner.

· Always ensure safe working conditions through efficient scheduling and by responsible personal example.

· Comply with all policy rules and regulations as stated in the CRT Personnel Policy and Procedures Manual.
