Theatre Aspen is seeking a Production Manager for the 2019 summer seasn.

This is a seasonal position responsible for providing the essential support required to maintain an efficient theatrical producing company and school. The Production Manager works closely with the Producing Director, General Manager, and Associate Artistic Director. The Production Manager has specific responsibilities in regard to finances, scheduling, design process and analysis, managing production personnel, supporting Theatre Aspen’s various departments, inventory, purchasing, facility management, and safety among other things as outlined below.

Contract Term:  
Employment spans early-May through late-August, with the possibility of an extension through late September. 

Relationships: 
Reports to Producing Director & General Manager
Supervises Technical & Facilities Directors, & Design/Tech Apprentices
Works with Associate Artistic Director, Company Manager, Director of Education, and Artistic Staff

Requirements & Prerequisites (include but not limited to):

  • This position requires excellent organizational and communication skills. A Bachelor’s degree in theatre, or equivalent experience as a Production Manager or member of a Production Management team is required. In addition, the Production Manager must have:

    A valid driver’s license in good standing (a copy of the applicant’s driving record may be requested)
  • Experience with productions under AEA contracts
  • Proficient knowledge of Microsoft Word and Excel
  • Strong carpentry skills a plus


Responsibilities: 

Finances
- Assist the General Manager in administering production budgets. The Production Manager will keep the General Manager apprised of the status of production budgets on a regular basis; overall expenses may not go over budget without prior approval of the General Manager.
- Assist the Administrative and Office Staff in processing, tracking and reconciling all production department accounts payable and over-hire/seasonal employee payroll.
- Solicit and review, alongside the General Manager, budget updates from the following departments: sets, lighting, props, costumes, and sound.

Scheduling
- Maintain the Master Production Calendar.
- In collaboration with the Producing Director, Assistant Production Manager, and Director of Education, develop the TAS Production Calendar within the Master Production Calendar
- In collaboration with the General Manager design and implement rehearsal, load-in, tech and strike schedules for the mainstage and educational productions, including but not limited to a crew calendar comprising crew hours, crew calls, and changeovers.
- Schedule, coordinate, and supervise all design and production meetings.

Design Process & Analysis
- In collaboration with the Producing Director and General Manager, guide all director/design teams through the design process to guarantee the timely construction and installation of all designs.  
- With the input of appropriate technical and administrative staff, analyze all designs submitted to determine feasibility of execution within the allotted time, budget and personnel available.

Managing Production Personnel
- When necessary, and in consultation with the Producing Director and/or General Manager, hire, contract and supervise (in collaboration with the Assistant Production Manager where appropriate) some production staff and contractors including, but not limited to: full-time technical staff, electricians, carpenters, production assistants, wardrobe personnel, running crew, artistic consultants and any additional personnel required for specific production needs.
- Serve as manager and mentor to all design & technical apprentices, assuring that responsibilities are met, skills are qualified by example and that departmental quality of life is assured.

Production Liaison
- Facilitate clear communications throughout the pre-season and on-season production process, and act as a liaison between directors, designers, stage managers, technical and other TA production and administrative staff.
-- Coordinate and conduct all design and production meetings
-- Attend first day of rehearsals, designer runs, technical rehearsals and previews
- In collaboration with administrative, artistic, stage management, and technical staff, coordinate delivery of all equipment and/or supplies needed for varying rehearsal spaces.

Department Support
- Foster a spirit of teamwork amongst all production crew, artistic staff, apprentices, and administrators.
- As necessary, support production teams with hands-on projects including (but not limited to) special effects, video and projections, assisting with stage work, purchasing, sourcing and researching materials and techniques.
- Alongside the Site Manager, coordinate the managing of property and equipment, including but not limited to:
-- Assessing equipment condition
-- Petitioning from each department a list of items that need to be repaired/replaced
-- Prioritizing repairs/replacements according to the production budget
-- Obtaining approval from General Manager to repair/replace
-- When necessary, assisting in arranging for repairs of broken equipment and pick up or arrange for delivery of repaired items
-- In collaboration with the requisite/relevant departments maintain storage inventory and update at end of season
- Supervise all aspects of load-in and strike, ensuring safety, responsibility, and accountability among all departments.
- Assist with troubleshooting of all technical elements as necessary.
- Supervise and participate in changeovers as scheduled, as the leader of one of two changeover teams.  Be knowledgeable of the tasks required to complete change over (to be determined on site).

Human Resources
- In collaboration with Producing Director and General Manager, the Production Manager is responsible for HR documentation for all production personnel, including but not limited to, distributing, gathering, and approving timesheets

Inventory and Purchasing
- Oversee inventory and maintenance of all shop, lighting, costume and sound equipment.
- Oversee all routine facility supply stocking as well as general facility hardware such as work lamps and stage supplies

Chief Rental Liaison
- In collaboration with management and technical departments oversee facility, shop, and equipment rentals.  Includes but is not limited to:
-- Fielding all advance production-related requests from existing renters of facility or equipment
-- Act as consultant
